Position Summary
Duxbury Beach Reservation seeks a detail-oriented, proactive Administrative Assistant to provide organization-wide administrative support, assist the Executive Director, and coordinate public events. This position is ideal for someone who thrives in a collaborative, mission-driven nonprofit environment and enjoys balancing behind-the-scenes organization with public-facing work.
Key Responsibilities
Administrative & Office Support
Manage day-to-day administrative operations for a small nonprofit office.
Maintain organizational records, files, and databases, ensuring accuracy and confidentiality.
Maintain non-profit deliverables and credentials, including government deadlines, grants, contracts, and organizational records.
Support grant applications and reporting by gathering documentation and organizing supporting materials.
Support HR and finance functions, including timesheets, expense tracking, and vendor communications.
Prepare correspondence, reports, and meeting materials.
Manage general inquiries via email.
Manage minor updates to the organization’s website.
Executive Assistant Duties
Provide direct support to the Executive Director, including scheduling, correspondence, calendar management, travel arrangements, and meeting coordination and follow-up.
Assist with trustee and committee communications.
Coordinate logistics for staff meetings, retreats, and other internal events.
Public & Fundraising Events
Plan and manage DBR’s annual fundraising and community events from start to finish.
Coordinate event logistics, timelines, budgets, vendor and venue relationships, ticketing, registration, and guest lists.
Collaborate with marketing, development, and outreach staff on event promotion, donor engagement, volunteer coordination and follow-up.
Serve as a welcoming public-facing representative at events and community programs alongside other staff.
Manage logistics and reporting for in-kind donations and sponsorships; coordinate raffle/auction items; maintain donor/sponsor recognition protocols.
Track event outcomes, prepare post-event reports, and compile feedback/recommended improvements.
Qualifications
3+ years of administrative or event management experience, preferably in a nonprofit, environmental, or community organization.
Strong organizational skills with exceptional attention to detail.
Excellent written and verbal communication skills.
Proven ability to manage multiple priorities and meet deadlines.
Proficiency with Microsoft Office, Google Workspace, and basic database or CRM systems (e.g., Bloomerang, OneCause, Golden).
Comfort working both independently and collaboratively in a small team environment.
Event planning or coordination experience is strongly preferred.
Passion for DBR’s mission and commitment to environmental stewardship and community engagement.
Compensation and Benefits
Competitive salary range $45,000 - $55,000, commensurate with experience.
Flexible hybrid schedule with some evening/weekend hours for events.
