The Sippican Lands Trust, Inc. (SLT) is an all-volunteer, 501(c)(3) charitable organization dedicated to acquiring, preserving and protecting land in the Town of Marion for the long-term conservation of open space and to encouraging appreciation, knowledge and healthy engagement of the natural world.  It was founded in 1974 and has protected 1,375 acres of land with over 13 miles of public trails on over 25 properties in the Town of Marion.  The organization is supported by 300 members and volunteers and is managed by a Board of Directors.  There are five committees: stewardship, finance, programs/education, cranberry bog renovation and acquisitions.  For more information, please visit www.sippicanlandstrust.org.

Summary of Position

The Program/Office Manager leads SLT’s efforts to engage our community, grow our membership, and succeed in our mission of preserving open space.  The Program/Office Manager coordinates and supports SLT's operations in relation to financial and program administration, as well as land stewardship and community engagement.  This involves close collaboration with the Board of Directors, committees, volunteers, consultants and other outside entities to carry out the mission of the organization.  This is a part-time position at 20-30 hours per week.  The rate of pay is commensurate with experience and will range from $25 to $40 per hour.

The Program/Office Manager reports directly to SLT’s President and works closely with the Chairs and members of our committees.  

Responsibilities

Administration

Work closely with SLT's accountant, Treasurer and others to coordinate financial operations and records.

 Maintain fundraising and membership records using electronic applications such as spreadsheets, databases or other systems as appropriate. Ensure payments are made to vendors, service providers and consultants and coordinate financial activities with the outside accountant.  

Handle and respond to all SLT phone, mail, web and email inquiries, take follow-up action as needed.

Act as liaison with the Town of Marion and the state Dept. of Environmental Protection.  Prepare and submit permit applications as required for stewardship and land acquisition projects, attend related Conservation Commission or other meetings or site visits.  Keep track and follow up on permit re-applications or other issues as needed. 

Maintain SLT digital and paper files.  Maintain current address lists, schedule and information sheets, business cards and similar.

Coordinate quarterly Board meetings, including distribution of pertinent information before meetings, scheduling and sharing links for remote participation, and taking minutes.

Community Engagement

Coordination of Stewardship activities.  In particular this involves managing invasive species projects, coordinating the work of any contractors, consultants or volunteers involved, work meetings on site and communicating/coordinating with the Chair and/or members of the Stewardship committee.  Other activities may include grant research and applications, and the development of interpretive signage or other materials. 

This area also involves working closely with the responsible Board member to coordinate SLT's Hunting Program.  This will involve planning and participation in annual meeting with hunters, orienting hunters to program requirements and expectations, and gathering required information from hunters.

Coordinate the scheduling, supervision and review of intern(s) work.

Collaborate with other lands trusts and the Buzzards Bay Coalition to share information and advice, share equipment as needed, and organize occasional work sessions.

Coordinate use of student or youth groups, including for special projects and annual service days.

Create and update content for SLT’s website and social media with the goal of weekly postings.   Identify and implement other ways to publicize SLT and our properties, including about 10 - 15 press releases to local media each year.

Coordinate SLT events, including the annual Membership Meeting, the annual golf tournament, volunteer dinner and other events as developed.  Enlist and coordinate volunteers to help with events.  Work with the Stewardship committee to coordinate the SLT hunting program.

Develop and support efforts to grow SLT’s membership including our annual membership drive.

Recruit and coordinate volunteers.  This includes regular communication with volunteers in an effort to increase volunteer engagement, coordinating schedules and task lists of volunteers and supervisors, developing regular volunteer opportunities, and arranging use of equipment as needed.   This will also involve direct supervision of volunteers performing administrative tasks, such as the annual appeal. Develop and maintain a volunteer database to help SLT better coordinate outreach efforts.

Administer the annual appeal drive.

Manage the production and maintenance of SLT publicity materials including kiosk posters, brochures, trail maps and event flyers.  Ensure kiosk brochure boxes are kept filled.  Develop and coordinate the installation of signage when needed (e.g. hunting caution signs).

Design and execute public programs in coordination with Board and volunteers.

Terms of Employment

This is a part-time position at 20-30 hours per week, although this may change based on SLT's needs.  Work schedule will require work on occasional evenings or weekends when events or meetings are scheduled.  The routine work schedule will be negotiated with the Program Manager, but will include a schedule of regular office hours. SLT provides office space but the Program Manager may complete some job duties offsite.  SLT provides paid vacation time as well as sick time.  The rate of pay is commensurate with experience and will range from $25 to $40 per hour.

Qualifications

Knowledge of open space or land conservation activities.  

Experience coordinating activities similar to those of SLT.

Ability to work independently in the office and on the SLT properties.

Strong organizational skills, self-starter, diligent, flexible.  Ability to manage multiple tasks and meet deadlines.

Strong writing skills

Successful experience engaging with the public

Excellent time management skills and ability to prioritize multiple projects and tasks

Strong computer skills, including use of spreadsheet, database, word processing, graphic design applications, cloud-based document storage/sharing, and group meeting software.  Familiarity with QuickBooks online is preferred.

Experience and skills using social media platforms. 

Valid driver’s license, access to reliable transportation
